Privacy Policy
MyNote Genie is designed as a local-first Windows app for recording, transcription, and AI-assisted meeting notes. This policy summarizes the current beta data flows.
Local data
- Notes, transcripts, summaries, tags, notebooks, and related-note metadata are stored in the local SQLite note database.
- Serialized note payloads are encrypted before they are written to SQLite. The encryption key is protected with Windows user-profile data protection.
- Recording audio files, Whisper models, app settings, cached entitlement state, account session headers, and generated read-aloud audio are stored under the existing local EchoNotes data folder.
Cloud AI
Cloud AI is used only when privacy mode is off, cloud AI is allowed, and the backend is reachable.
- Batch transcription sends recorded audio to the MyNote Genie backend, which forwards audio to xAI/Grok speech-to-text.
- Live transcription streams audio chunks to the backend, which proxies the stream to xAI/Grok speech-to-text.
- Summary regeneration, action items, tags, Ask, and read-aloud send selected transcript or summary context to the backend for Grok processing.
- The desktop app does not store or read the xAI provider key. Provider credentials remain in backend configuration.
Privacy mode
- Privacy mode blocks cloud transcription, live Grok streaming, Ask, cloud insight regeneration, and Grok text-to-speech in the desktop app.
- Transcription uses local Whisper when the selected model is installed.
- No note transcript or recording audio is intentionally sent to the backend for AI operations while privacy mode is enabled.
Billing and account data
- The app sends account ID, email, and device ID headers to the backend for entitlement and device activation.
- The backend stores account, device activation, license tier, Stripe customer ID, billing period, active state, and Grok usage totals during beta.
- Stripe Checkout is hosted by Stripe. Payment details entered during checkout are handled by Stripe.
Diagnostics
Crash diagnostics and telemetry preferences are stored in app settings. Crash diagnostics and telemetry are off by default in the current beta unless the user turns them on. Current beta logging is intended for troubleshooting and should not include transcript content, raw authorization headers, account secrets, Stripe secrets, or provider secrets.
Retention and deletion
- Local notes, recordings, settings, Whisper models, logs, and cached beta data remain on the user's Windows profile until the user deletes them or removes the local EchoNotes data folder.
- Uninstall removes installed program files and shortcuts but intentionally preserves local data under
%LOCALAPPDATA%\EchoNotes. - Account, device, entitlement, billing, and usage records are retained by the beta backend while the beta account is active and for a reasonable period needed for support, fraud prevention, tax, accounting, legal, and operational records.
- To request account/device/backend data deletion, email info@omniadataanalytics.com from the account email when possible.
Cookies and analytics
This static website does not intentionally set analytics cookies. Stripe-hosted Checkout and other third-party pages may use their own cookies and policies.
